- Reception duties, including answering incoming calls, handling incoming and outgoing mail and scheduling appointments
- Answer general emails and postal correspondence and maintain positive relationships with suppliers (incl. the cleaning company, landlord, etc.)
- Responsible for workstations including the ordering, furnishing, re-arranging desks and equipment
- In consultation with HR and Hiring manager, prepare necessary onboarding requirements for new employees
- Cooperation with the IT department regarding the purchase of office (IT) equipment for workstations, meeting rooms etc. and solving any issues related to such equipment
- Coordination of the handyman and external vendors for Office Management assistance, such as routine repairs and supply deliveries
- Ownership of several internal administration procedures such as registration of access passes
- Proactively making and/or suggesting changes to improve the appearance or functioning of the office
- Responding to requests/complaints/suggestions from co-workers in relation to the office
- Provide support with the coordination and organization of company events
- Provide administrative and travel support to the team
- Together with the relevant functional team, prepare and dispatch board presentation packs
- Initiating dispatch of questionnaires for Prologis’ KYC/AML screening tool
- Monitoring the departmental budget
- Strong administrative and organization skills

- MS Office (Word, Excel, PowerPoint, Outlook)
- Not shy of using and learning operating other software
- Strong communication skills
- Fluent in French and English
